1. How many guests need transportation?
Not every guest will ride. Local guests often drive themselves or take rideshare. Out-of-town guests, older guests and anyone staying at partner hotels usually ride. Estimate the riders, not the total guest list.
2. Where are they coming from?
One hotel is simple. Three hotels, a church and a private home is a routing problem. List every pickup point and the number of guests at each.
3. How long is the arrival window?
Most events want guests arriving over 45–90 minutes. A shorter window needs more vehicles running at once. A longer window lets fewer vehicles make more trips.
4. What does the venue allow?
Ask about loading zones, where idle vehicles can wait, whether large coaches can reach the entrance, and whether the venue coordinates with valet. Downtown venues often have strict curb rules. Some suburban estates and clubs have narrow drives that won’t fit a full-size coach.

How shuttle loops work
A shuttle loop is one round trip: loading at the hotel, driving to the venue, unloading, and returning. If a loop takes 20 minutes and your arrival window is 60 minutes, each vehicle can make about three trips.
A simple formula
Guests moved per vehicle = seats × number of loops in your window
- A 14-passenger Sprinter running three 20-minute loops moves about 42 guests in an hour.
- A 54-passenger coach running three loops moves about 160 guests in an hour.
A worked example
A charity gala expects 180 riders from one downtown hotel, arriving between 6:00 and 7:00 p.m. The venue is 10 minutes away, so each loop takes about 20 minutes.
- Option A: One coach (about 160 guests) plus one Sprinter (about 42 guests) covers everyone with room to spare.
- Option B: Four or five Sprinters (about 168–210 guests) give more frequent departures and a more upscale feel.
Multiple hotels
With guests at two or three hotels, assign vehicles to each pickup point based on headcount, rather than running one vehicle between several stops. It keeps loops short and waits predictable.
Add a buffer
Plan for 10–15% more capacity than your math shows. Guests arrive in clusters, not evenly, and one late vehicle shouldn’t leave people waiting outside.

Stagger the waves
Communicate shuttle times to guests in waves, such as 6:00, 6:20 and 6:40, instead of “shuttles begin at 6:00.” Guests spread out naturally, and nobody waits long.
Put a greeter at each pickup point
A staff member or volunteer at each hotel lobby directs guests to the right vehicle and tells dispatch when a vehicle is full or a group is running late.
Coordinate with the venue
Share your arrival schedule with the venue so doors, coat check and valet are ready as vehicles arrive. Confirm where vehicles stage between loops, since idling at the front door is rarely allowed.

Set a last departure time and announce it from the stage or in the event program. It keeps the final loop organized.
